Opportunity

Public Welfare Foundation is seeking an Office Manager and Human Resources Assistant who will report to the Chief Financial and Administrative Officer. The Office Manager/Human Resources Assistant will handle a variety of duties relating to the operations of the Foundation, particularly relating to oversight and high-level management of office systems and administering human resources functions.

Responsibilities

Information Technology:

  • Manages the Foundation’s relationship with its outsourced IT provider, overseeing IT-related tasks and projects, including procurement and configuration of IT equipment, and preparation of and monitoring budget for provider’s services and other IT-related spending.
  • Responsible for oversight and management of IT projects affecting the basic technology used by all staff, such as acquisition and rollout of new computers and implementation of Foundation-wide software applications.
  • Serves as liaison between Foundation staff and outsourced IT provider with respect to information technology issues.
  • Seeks opportunities to find efficient ways to use new or existing technologies to increase staff productivity.
  • Responsible, with outsourced IT provider, for Foundation’s cyber security efforts, including periodically obtaining review of our cyber security readiness. In conjunction with the Events Manager, coordinates the Foundation’s audiovisual technology needs and works with outside A/V consultant.

Other Office Management Duties:

  • Responsible for implementation of Foundation’s records retention policy, including periodic review of paper and digital records and destruction of records that need not be retained under the policy. Works closely with other Foundation staff to stay in compliance with the policy.
  • Responsible for disposal of obsolete equipment and furniture.
  • With Chief Financial and Administrative Officer, responsible for management of acquisition of new office furniture and equipment and assisting in management of office renovations.

Human Resources:

  • Supports the Foundation’s employee recruitment efforts. Responsible for onboarding and offboarding employees.
  • Manages the Foundation’s employee benefits program to assure employees are covered and benefit premiums and other costs are accurate and timely paid, including working closely with external benefits consultants.
  • Schedules regular periodic meetings with outside retirement plan advisor and benefits consultants.
  • Manages annual performance evaluation process.
  • Prepares first drafts of budget for personnel costs, monitors spending relative to budget, advises concerning need for budget adjustments.
  • Handles maintaining qualifications to do business in states in which remote employees reside.
  • Works with outside counsel to maintain employee handbook.
  • Completes surveys from external organizations regarding compensation, benefits, and administrative policies. Reviews and analyzes results of surveys and makes recommendations to management on compensation and benefits in light of survey results.
  • Other duties as assigned.

Requirements

  • Experience in human resources management, particularly in onboarding and offboarding and employee benefits issues.
  • Some familiarity with laws and regulations related to employment and employee benefits.
  • Experience in managing external vendor and professional services relationships.
  • Familiar with a variety of information technology platforms and applications, working knowledge of cyber security issues.
  • Experience using and intermediate knowledge of Microsoft Office suite of applications, particularly Word, Excel, Outlook, and PowerPoint.
  • Experience with project planning and leading accomplishment of projects requiring multi-person teams.
  • Excellent communication skills and ability to create positive interpersonal working relationships.
  • Keen attention to detail and ability to produce high-quality, accurate work product.
  • Demonstrated ability to complete work quickly and on time. Self-starter; ability to work independently.

Qualifications

  • Bachelor’s degree, preferably in business administration or with a concentration in human resources.
  • Five years of relevant experience.

Compensation and Benefits

This position offers a competitive salary range of $78,000 to $86,000 and robust benefits including medical, dental, vision, and retirement. More details can be provided upon request.
